Responsibilities

  • Perform general administrative tasks, including filing, document management, and maintaining records.
  • Produce timely and accurate reports, as required by managers.
  • Handle incoming and outgoing communications (emails, phone calls, and mail) professionally and efficiently.
  • Manage schedules, appointments, and calendars to support staff and business operations.
  • Support colleagues on specific projects by providing timely and accurate administrative assistance.
  • Ensure that office supplies are well-stocked and liaise with vendors when needed.
  • Organize and maintain physical and digital document archives.
  • Assist in ensuring compliance with company policies and procedures.

Qualifications

  • Proven experience in an administrative or similar role is preferred,
  • Proficiency in basic administrative practices, including familiarity with MS Office (Word, Excel, Outlook).
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • A valid UK driving license (essential).
  • Strong attention to detail and a commitment to accuracy.
  • Ability to work independently, as well as part of a team.
  • A positive, can-do attitude with a willingness to learn.

Day-to-Day

  • Begin your day by checking and responding to emails, organizing priorities, and scheduling tasks.
  • Maintain an organized filing system for documents and ensure updates have been correctly added.
  • Answer phone calls in a friendly and professional manner, assisting with inquiries and redirecting calls as needed.
  • Coordinate with team members and managers to support ongoing projects, such as creating reports or updating records.
  • Logistically support staff by booking meeting rooms and managing calendars.
  • Review stock levels and order needed supplies to ensure smooth office operations.
  • Ensure deadlines for administrative tasks are met by closely tracking activity and progress.
